As a property management and letting agent, we require this information to perform our role, manage properties and fulfil our contractual and legal obligations.

Where you are a Tenant/Licensee of student accommodation, we may request evidence of your student status. This may include documentation confirming your enrolment or attendance at an educational institution. This information is required to verify your student status and to assist in establishing the correct Council Tax position for the property. Where requested, student-status documentation must be uploaded through our website.

Where you are a Landlord/owner, we may request evidence of your identity. This may include identification documents such as a passport or driving licence. This information may be used to verify your identity and to assist us in complying with our legal, regulatory and contractual obligations and in properly managing properties on your behalf. Where requested, identification documents must be uploaded through our website.

How we use your information

We may use the information held about you in the following ways:

1. Communication
   • To communicate with registered users of the Site regarding our obligations and the daily management of properties.
   • Contact reasons may include, but are not limited to:
     • Property maintenance
     • Property visits
     • Rent/licence fee collection
     • Preparation for the start and end of Tenancy/Licensing Agreements
     • House viewings
2. Tradespeople and Contractors
   • Providing your contact details to tradespeople who carry out work on properties you own or rent/license.
3. Deposit Protection
   • Where applicable, notifying the Deposit Protection Service or related service provider of any deposit payments requiring protection.
4. Legal Compliance
   • Verifying your "Right to Rent" status (only applicable to Tenants/Licensees) and transmitting related documentation to third parties, as needed.
5. Student Status and Council Tax
   • Requesting and verifying evidence of student status where you are a Tenant/Licensee of student accommodation.
   • Using this information to assist in establishing the correct Council Tax position for the property and, where necessary, providing relevant information or documentation to the Landlord/owner, City of York Council or another relevant authority.
   • Tenants/Licensees are responsible for completing any relevant Council Tax exemption, discount or student-status forms directly with the relevant local authority. We do not complete these forms on behalf of Tenants/Licensees.
6. Landlord Identity Verification
   • Requesting and verifying identification documents from Landlords/owners where required.
   • Using this information to verify identity and assist us in complying with our legal, regulatory and contractual obligations and in properly managing properties on their behalf.
7. Guarantor Notifications
   • Informing the Guarantor if the Tenant/Licensee fails to pay rent/licensing fees.
8. Debt Recovery and Tracing
   • Disclosing information to tracing agents or debt collectors in the event of unpaid sums.
9. Property Sales
   • Where a property we manage is being sold, we may provide relevant information relating to the property, tenancy or management of the property to the selling agent, solicitor or prospective/new owner where necessary in connection with the sale.
